28 Apr EFFECT OF SOCIAL MEDIA ON PRODUCTIVITY

Social media Addiction

Take some time to read through this scenario: You are visiting an organization on appointment. After exchanging pleasantries with the receptionist at the front desk, you informed her of your mission. She responded grudgingly while paying scant attention to you as she seamlessly returned to what she was doing before you interrupted her. Curious, you wondered what could have consumed her thoughts so deeply, only to discover that she was lost in her own world of social media apps.

Has this ever happened to you? How did you or how will you handle it? For all intents and purposes, social media is a two-edged sword. On one hand, it is a tool that has enhanced information dissemination and social engagement at the swipe of your fingers. Social media has become a new trend in the workplace that cannot be ignored due to its numerous advantages, from analyzing potential employees’ profiles to promoting a business and encouraging interaction between employees. Most Social Media platforms offer free advertising and other benefits for companies both big and small scale.

On the other hand, it is a syndrome that has eaten deep into daily routines, thus hampering productivity, and ultimately, returns on investment (ROI) due to time theft. It is often said that “Time waits for no one and a lost time can never be bought or brought back”. According to a study by Nucleus Research, companies that allow employees use social media during the work day lose 1.5 percent productivity.

“Most employees check their “inboxes” too often, constantly interrupting their work.  Employees estimate that they spend about 4 hours a day (half a workday) managing multiple “inboxes.” The time spent on social media however is spent more for personal reasons than work reasons, with only 6.8% of the participants indicating that they use social media solely for work purposes. The study suggests that social media on platforms such as Facebook have “shattered the divide between business and personal use” and often encourage such intermingling further exacerbating this issue.”  (Ott, 2010)

Social networking can also hurt the relationship between employees.  Negative messages can be sent through social networking sites and can hamper the ability of employees to work together.  “Additionally, social networking provides a way for employees to communicate with one another throughout the day without anyone overhearing, leading to an increase in off-task conversations.” (Zeiger) In order to ensure work related discussions were kept internally, one organization developed their own “internal Facebook” where employees discussed issues with each other rather than taking to a public forum such as Facebook or Twitter.

The last disadvantage of social networking in the workplace is the potential breach of confidentiality and the tarnishing of the corporate image by employees and managers; this means that employees can inadvertently post confidential business information on blogs, wikis, or Facebook. Negative posts intentionally posted by disgruntled employees can also tarnish the image of the company because the information can be so quickly shared between users.  These breaches in confidentiality between the business and its employees can lead to much bigger issues down the line.

Inevitably, social media addiction leads to low productivity of individuals and adversely affects company goals.

18 Apr TAMS IS PROUDLY NIGERIAN

proudly Naija1Over the years, a key economic challenge that has confronted every new administration in Nigeria is the issue of creating an enabling economic environment for locally made products and services. The new administration with its change mantra, is toeing the same line.

Notwithstanding the traction that globalization, along with the free movement of goods and services, is gaining in international trade, some countries have gone ahead to develop policies to protect and encourage local manufacturers, service providers and innovators. Although, growing in stature and influence as a key player in international business, China was said to have strategically locked down her borders to stem the influx of foreign goods and extensively promote locally made goods.

Owing to such a bold, though unpopular move, China has emerged as the world’s largest manufacturer of technology produce. People and businesses from all corners of the globe visit China to make orders which, in turn, boosts the economy significantly, thus engendering a high GDP and increased job opportunities, in addition to a low rate of inflation, among other benefits.

While quality control and reduced cost of production would help in no small measure to enhance locally made Nigerian goods, the potentialities for improvement are well recognized. A visit to the Onitsha market, the biggest clothes market in West Africa, presents a rich tapestry of talents in production, design, distribution, and the entire value chain of the business.

Truth be told, poor power and infrastructure are enough headaches to dissuade anyone venturing into technology, yet right in the heart of Lagos, Nigeria’s commercial nerve centre, a young Nigerian with a passion for productivity, Afolabi Abiodun, applied himself and his team to develop the time attendance management systems (TAMS®), a human resource software that reduces administrative effort and increases data quality by way of a seamless user experience.

Abiodun’s capacity and resourcefulness to adapt global technology to local needs has positioned the time attendance management systems (TAMS®), an end-to-end human resource solution configured to meet an organization’s need for optimized productivity, facility patrol and security management, as a must-have tool for operational efficiency.
TAMS® enables the user to access and manage employee information from any location via the computer and other intelligent devices, including iPad, laptop, mobile phones etc.

While Nigerians in the Diaspora- such as Saheed Adepoju, Ndubuisi Ekekwe, Jelani Aliyu, Shehu Saleh Balami, and many more – continue to make waves in their respective fields of endeavor, government at the local front must not jettison its commitment to motivate local manufacturers and innovators by fully patronizing their work while further encouraging the citizenry to do same. In such a scenario, the Nigerian economy is a strong beneficiary through increased returns on investment and increase employment, which in turn reduces redundancy and poverty amongst the bulging youth population.

12 Apr IMPORTANCE OF TIME MANAGEMENT TO PERSONAL UPLIFTMENT

time image
What is time management?

It is a set of principles, practices, skills, tools and systems that help you use your time to accomplish what you want.

Personal time is mostly referred to as “free time” or the time we haven’t already traded away. Good personal time management skills is what allows an individual to be productive and make progress in different spheres of life, and still retain control over stress and energy levels.

Why is time management important for personal upliftment?

Time management is important for your personal life and career success. It teaches you how to manage your time effectively and make the most of it.

Here are a few of the reasons why it is so important, and how it can help you use and manage your time more advantageously:

1. Time is a special resource that you cannot store or save for later use. Everyone has the exact same amount of time each day. Time not well used cannot be retrieved.

2. Most people, feel like they have too much to do and not enough time. They blame lack of time for their poor finances, stress, bad relationships, and for not exercising their body.
Wise personal time management can help you find the time for what you desire, and for what you need to do.

3. You need time to get what you want out of life. If you wait for extra time to appear, you might lose the game of life. Through right time management, you can “create” the time you need, and not just wait for it to come. By planning your time wisely, you will have more time to do more things.

4. Personal time management will help you set up your priorities.

5. Time is limited to 24 hours a day, so plan your life wisely.

6. Personal time management helps you make conscious choices, so you can spend more of your time doing things that are important and valuable to you.

7. You can learn to find the time for the things that are important to you. Even a small amount of time once a day, or even once a week, will take you closer to your goals, and you will be surprised at the progress you make.

8. You become more productive using improved time management skills and tools, and can accomplish more with less effort and time. Time management can help you reduce wasted time and energy, help you become more creative and productive, and enable you to do the right thing at the right time. This will of course lead to more balance and fulfillment in your life.

9. Life today presents so many distractions, and therefore, it is very easy to lose time on unimportant activities. Ask yourself, is watching this or that TV program, reading this or that gossip or participating in a certain activity is going to add anything to your life. Is the time spent on a particular activity well spent, or is just a waste of time and energy?

10. Life puts in front of everyone so many choices each day, and the question is, do you follow what appears on your way, or do you consciously choose what you want to do?

11. A certain degree of detachment and inner peace are useful in managing your time effectively. They help you avoid spending too much emotional and mental energy on what people say and think about you. They help you stay calm, despite distractions or difficulties, and this saves you a lot of time and energy, which you can spend on better and more rewarding activities.

In conclusion there are many things you can do and tools to use to manage your time effectively. There is a lot of time wasted each day, which can be put to better uses. There are changes you can make, which will effectively increase the time you have at your disposal every day.

Thinking, planning, finding out how others manage their time, and reading books and articles on time management, will develop these skills and give you good ideas.

Among the many changes that you can make to manage your time, there is one that is important and easily available, and that is getting up early in the morning. Give up watching TV late at night, reduce time on chat mediums on social media and go to sleep a little earlier than usual. It will then be easier to wake up earlier.

Even waking up only 15 minutes earlier would be great. It is a time of quietude, before everyone else wakes up, which you can devote to reading, meditating, exercising, or planning your day.
To get rid of the feeling that you have much to do and not enough time, try to feel and to think, as if you have all the time in the world.

This kind of thinking would enable you to focus on what you are doing, without stress and strain.
Always plan your time well and don’t waste it on useless matters. Be careful not to procrastinate, and do everything in the best way you can, with focus and attention.

05 Apr Hassle-free Performance Measurement

rh12-d1-2014-5592-hiring-index-suggests-south-african-employers-hopeful-for-happy-new-year_3359_t12
As a business grows and more employees are added, the use of manual methods to record, track and report time and attendance, naturally becomes cumbersome. With so many tasks vying for the attention of the human resources administrator, effective tracking tends to swing between difficult and impossible.

But why should an organization bother about ensuring that its employees are present and actively involved in what they have been employed to do in the first place?

Research shows that organizations lose more than 25% on employee ROI due to lateness and absenteeism. That is why it is pertinent to ensure that employees are actively engaged by channeling their time and energies towards optimum productivity. To do this however, would require much more than manual record keeping. It involves the use of an automated attendance tracking solution, which is simple and easy-to-use. It deploys biometric technology via fingerprints, electronic cards, passcodes, facial recognition, and so on.

Biometric time and attendance systems are now one of the most powerful applications used in organizations of all sizes and business types. With automated workflow and notifications, management can stay updated with complete information of log-ins and log-outs.

Focusing on key metrics helps to streamline assigned tasks which, in turn, enhances productivity and efficient time management, with benefits such as: tracking actual minutes worked; reduction of administrative overhead costs; equality and fairness whereby employees are paid for actual minutes worked; eliminating so-called “buddy punching” thus preventing employee time-theft. By going paperless, your organization would ensure improved productivity and flexibility, while at the same time, reduce error rate and eliminate cost.

27 Jan Setting the Right Time and Attendance Rules from the inception.

Tams_Setting_Time

Having been running a company for years or are making your first foray into the business world, how you deal with a regularly tardy or absent employee will go a long way in determining your company’s success.

Inevitably, you or one of your managers will at some point deal with someone who makes it a habit of being late for work or calling in sick on a regular basis, creating time and attendance issues for your business.

While there are excusable absences, taking advantage of being more than a few minutes late once every now and then or using a sick day and heading to the beach do not fall under the excusable definition.

As the head of the company or as a manager, how will you address such individuals who try and work the system, putting other employees at a disadvantage?

The reasons for such actions can include:

  • You don’t have a properly set attendance time and policies in place, meaning certain employees are “pushing the envelope” to see what they can and can’t get away with;
  • The Manager in charge of the department where the time and attendance issues are emanating from is not enforcing the rules;
  • The business owner and top managers can go at your own leisure, thereby abusing the business rules;
  • Office Ethics are suffering when employees wear an “I don’t care” attitude to the workplace.

Consider tams as a simultaneous equation to fix your office attendance & office rules problem

In the event employee’s truancy in the office where they are coming and going as they please, then you need to wrap your arms around the problem quickly. Have you lost control as the business owner or as a department manager? Have you turned off the very people you’ve tried to turn on to doing what is best for the company?

Either way, employee tardiness and unusual absences should lead you to review your office time and attendance policy.

The TAMS web base Application is best solution for this purpose. Setting up a flexible business rules is very easy. Just follow the steps on your goal to have a fair and clear time, and attendance policy resolved.

  1. On your TAMS Application (tams.com.ng/tamsportal)
  2. Go to organization
  3. Click on company details and Edit company details
  4. Go to Attendance deduction
  5. No of Lateness to ignore: This is overlooking a certain number of lateness that could be ignored depending on organization. This may be as a result of traffic or other exigencies.
  6. Number of NO-CLOCK to ignore: This is overlooking a certain number of NO-CLOCK by employee depending on organization. This might be due to forgetfulness of employee to CLOCK-IN
  • Compute Lateness By: The employee lateness time can be computed based on minute, hour and Daily
  1. Number of Hour Work for NO-CLOCK: This is the equivalent hour to be put together for employee NO-CLOCK.

For example, Number of Hour for NO-CLOCK is 4 Hours (Out of the 8 Hours Expected working Hour. Invariably, the Employee will be paid half day pay for that day.

The corresponding payment expected to be paid by employee is synchronized with attendance report; and can be viewed in the Attendance Deduction Report.
